Client Device Preparation Requirements

1. Introduction

Affinity processes IT equipment with two objectives: protecting client data and returning serviceable devices to productive use wherever possible. We are obliged to process every device in the most environmentally efficient manner available in accordance with the Environment Agency’s regulations. Reuse and refurbishment take precedence over material recovery, and that relies on devices arriving in a condition that permits it.

This notice sets out what we require of clients before devices are collected or dropped off. It applies to all clients.

2. Locks and Device Management

Devices must arrive with all software locks and remote management removed. Specifically:

  • Activation Lock and Find My. Apple Activation Lock, Find My, and equivalent Android protections must be fully disabled. Guidance on how to remove an Apple Activation Lock is available here.
  • Mobile Device Management (MDM). Devices must be removed from management servers and device enrolment profiles. Instructions for common providers can be found below:

Devices received with an active lock or MDM enrolment cannot be refurbished and are ineligible for a rebate. Data destruction for these devices will be charged according to our standard rates, details of which are available upon request.

Affinity can provide help and guidance on removing activation locks and MDM profiles. Please contact us before collection if you need support.

3. Broken Devices

Where a device is faulty or damaged and/or a lock cannot be removed by the client, Affinity will supply a Transfer of Liability and Ownership Declaration Form. Once signed and returned with the original invoice for the device, we can contact the manufacturer or service provider to request removal of the lock.

Rebates are available only in one of two circumstances:

  1. Devices have no activation lock and/or MDM enrolment applied, or;
  2. The device is non-functional at time of receipt and the signed declaration form and original invoice have been provided.

Devices outside these circumstances are not eligible for a rebate.

4. Handling, Storage and Data Preparation

Clients are expected to take reasonable care of equipment until it is in our custody:

  • Handle devices carefully and store them in a safe, dry location pending collection or drop-off.
  • Where possible, delete sensitive information from devices before handover. All devices are subject to certified data destruction regardless.
  • Where possible, remove physical locks, tracking devices and asset tag labels before handover.

Compliance with these requirements keeps devices eligible for refurbishment, avoids additional charges, and supports environmentally efficient processing.
